Main Conference Details
  
Transportation:
We encourage all air travelers to fly into Bradley International Airport in Hartford, Connecticut (a 55-minute drive from the Hartsbrook School in Hadley, Massachusetts). Participants are responsible for arranging their own transportation. If you are interested in receiving the names and email addresses of other participants interested in sharing a ride from Bradley International to Hadley, please indicate such within your online registration. If you indicate you are interested, you will receive an email in early July, listing other interested participants and including information about any possible discounts available through local transportation providers.

Hotel and Housing:
We have done our best to consider the varying budgets of conference participants and to arrange quality affordable options. We have arranged a small block of rooms at discounted rates at the Hampton Inn in Hadley. For Wednesday, Thursday and Sunday nights, the rate is $139.00 per night (plus tax); for Friday and Saturday nights, the rate is $206.00 per night (plus tax). Reservations must be made prior to August 1st. To reserve a room online go to  www.hadley.hamptoninn.com and select the dates desired; then type in the group code EAT in the group/convention code box. This will give you access to the block availability and rates. Guests may also call 1-800-HAMPTON or the hotel directly at 413-586-4851 to reserve a room. Please reference group code EAT.  Rooms are limited so reserve early. Shuttle service from the Hampton Inn to the Hartsbrook School is provided but must be arranged in advance; please be sure to indicate your intention within your online registration.

We have also arranged a larger block of rooms in the dormitories at the nearby Hampshire College (3 miles from Hartsbrook School).  Dorm rooms are a private room with a single bed; bathrooms are shared. One pillow, one blanket and a basic linen package that includes sheets, a pillow case and a towel will be provided. Housekeeping is not provided and it is the responsibility of guests to maintain the cleanliness of their accommodations.  The rate for the dorm rooms is $40 per night and reservations can be made within your online registration. Keys will be furnished upon arrival. Shuttle service will be provided from the College to Hartsbrook School, but prior arrangement is necessary, so please be sure to indicate your intention within your registration. 
  
Weather Considerations: Please expect warm summer conditions throughout your stay, with temperatures in the mid 80's during the day and mid 60's at night, and the possibility of rain.

Meals:
Meals and snacks are included in the tuition. Please be sure to indicate your dietary preference in your online registration.

Cancellation Policy
Participants' cancellation requests must be received in writing (emailed and received, or postmarked) before July 1st, 2018 for a full refund, less a $100.00 administrative fee. Cancellation requests received in writing before July 18th will receive a 50% refund, less a $100 administrative fee. Cancellation requests after July 18th will not be eligible for a refund, but another person may be substituted for a $100.00 administrative fee. Telephone cancellations cannot be honored. Email cancellations will be promptly acknowledged by return email; until then, you cannot assume they have been received.

Scholarships:
Additional registration discounts may be available to those who qualify. To apply for scholarship consideration, please write to your respective organization describing your circumstances. If you are not a member of another organization within AAMTA, then please write to aamtaconference2018@gmail.com.

Post-Conference: The Post-Conference is separate from the Main Conference and is set up as its own event requiring separate registration with a minimal fee to attend. If you are interested in attending the Post-Conference, please write to us at aamtaconference2018@gmail.com describing your experience and interest in the topic of Fostering a Culture of Health.
